Here's the fix. When a patient cancels, don't immediately fill that slot from a waitlist. Instead, call someone who's already scheduled for later in the week and offer to move them up.

"Hey, I just had my Thursday 3pm cancel. If you want, I can slide you in today or tomorrow — would either of those work for you?"

That's the whole technique. Same-day and next-day appointments show at dramatically higher rates than appointments booked three weeks out.

A patient you just called who can come in tomorrow is still hot — nothing has had time to get in the way. You're also giving them a gift (a better time), not a burden. That reframes the whole interaction.
